STEPS TO RATIFY

Looking for a group that reflects what you’re passionate about, you can start your own!
We have all the tools you need to start your own club or renew a past one.
Follow the simple steps below to ratify your group.

STEP 1: BE UNIQUE

Great minds think alike – check to make sure that there isn’t already a group on campus that does what you want to do. Search our club directory to find out if your group already exists.

STEP 2: RECRUIT YOUR TEAM

You’ve got a gillion Facebook friends, but can you recruit 4 Club Executive Members and 10 General Members that are all full-time Ontario Tech students? If you can, and we hope you can, move on to step 3.

STEP 3: SUBMIT RATIFICATION

Your next step is to complete our online Ratification Application. Remember, the deadline for ratification is September 30 each year. Be sure to fill out the form with as much detail as possible to ensure your ratification is approved.

STEP 4: RATIFICATION REVIEW

Next, the Clubs & Societies Office will reach out to you regarding your ratification status within 10 business days, but if it’s a little longer don’t worry, we’re on it! Until this magical email comes in you will not be officially ratified.

STEP 5: EXECUTIVE TRAINING

So you’ve been approved, but to take it up another notch you’ll have to complete your Executive Training! All executives for your group need to complete this training before any funding can be released.

FAQ

How much funding are Clubs eligible for?

When you’re with the Clubs and Societies Department, you are eligible for Student Union funding. Clubs can receive up to $500.

Why aren’t there any sports-related Clubs?

The Student Union is not able to ratify sports groups, however, there are resources to host campus athletic clubs, to do so contact Campus Recreation

What do I need to receive official recognition on my co-curricular record?

To receive co-curricular recognition, you must have contributed at least 20 hours of service participating in the club’s activities and have the groups General Members List submitted by the end of January.

Can I be in a Club/Society if I opted out of the fee?

Unfortunately, no, you cannot. We want to allow all students to have the opportunity to provide meaningful experiences on campus. For that to work, and to be sustainable, we need to ensure that those who are using the Clubs system are opted in.

Can I opt out mid-year for a refund?

Once the deadline to pay your fees has passed you are not eligible to opt out of these fees.
